Conga to Spec Export Transition

Beginning in June 2024, Specright is moving away from partnering with Conga for PDF exports. Instead we’re offering a new feature, Spec Export, that’s built into our Specification Data Management platform.

Beginning in September 2024, Specright will launch Spec Export, a purpose-built PDF generator as part of our Specification Data Management platform. We know dynamic, live data is key. However, we’ve also seen with many customers that there is still a need to generate PDFs for a variety of different use cases, including formatting BOMs for supplier and retailer reporting, internal information sharing (for team members who don’t have access directly to Specright), compliance/quality data reporting, and more. We want to be able to support this functionality in the most seamless way possible – in a way that’s easy to set up, use and maintain.

Your company has been using Conga, a 3rd party tool, to generate PDFs. As we continue to innovate the Specright platform, it makes sense for us to support this functionality. This allows us to own the product roadmap and incorporate your feedback for continuous product innovation – something that is not possible when using an external, 3rd party tool.

As part of your Conga renewal agreement, we will be offering the transition to Spec Export at no additional cost toyou. Our goal is to provide you with the utmost value and help you make amazing, sustainable things.

Understanding the Need for Transition

Why Move Away From Conga?

While Conga can generate PDFs for various use cases, it comes with its own set of challenges, including:

  • License Restrictions: Limited user access due to license structure.
  • User Experience Issues: Long load times and complex templates.
  • Maintenance Difficulties: Misalignment between Conga exports and Specright templates.
  • Lack of Innovation: Inability to influence Conga's product roadmap.
  • Support Concerns: Outages affecting access to critical data.

Benefits of Spec Export

Spec Export is purpose-built to integrate seamlessly with Specright’s platform:

  • Universal Access: Available to all users with a Specright license.
  • Enhanced User Experience: Simplified interface and improved load times.
  • Ease of Maintenance: Native alignment with templates and related lists.
  • Continuous Innovation: Direct control over product enhancements based on customer feedback.
  • Reliable Support: Dedicated Implementation Team for template updates and best practice sharing.

What to Expect: Communications Plan

Your company has been using Conga for PDF generation. You will begin to receive communications from our Account Management Team about the transition to Spec Export approximately 90 days before your Conga renewal is due. It’s important to note, your Conga renewal date may be different from your Specright renewal. You will have the option to learn more about Spec Export and see a live demo before moving forward with the transition.

For customers who want to move forward with Spec Export during this 90-day renewal period, the transition will be completed at no additional cost. You will then partner with our Implementation Team on transition and implementation, including being able to review and approve the functionality in your Sandbox org before the feature is pushed live.

If for some reason it is not a fit, customers will be able to renew their contract directly with Conga.

Step-by-Step Guide for Migration to Spec Export

1. Customers Meet with Account Management Team

After receiving initial communications about the transition from Conga to Spec Export, you will meet with our Account Management Team to learn more about the benefits of Spec Export and see a live demo. This will also be the time when the Account Management Team reviews a proposed timeline and you agree upon the templates that will be migrated for your transition to Spec Export. If additional templates or enhancements are needed in the future, SDM-as-a-Service hours can be purchased.

2. Customer Partners with Implementation Team on Migration

Each customer will then be assigned an Implementation Lead who will serve as a main point of contact for their Conga to Spec Export migration. The Implementation Lead will review and ensure the most commonly used templates are transitioned during the agreed upon project timeline.

3. Implementation Begins

The Implementation Team will begin building out requirements of the transition plan. This build process will vary for each customer. The Implementation Team Lead will serve as a primary contact for questions, project updates, and any additional information customers may need

4. Customer Sandbox Review & Approval

You will have the opportunity to review, test, and approve the Spec Export functionality within their Sandbox org, before the feature is pushed live. You will also have the opportunity for any additional training needed during this time. This step in the process should take approximately 2 weeks. If you do not provide any feedback within a two week period, the feature will be pushed live to your Specright organization.

Additional Support Needs

After the initial migration plan is completed, you can easily build, modify, and maintain PDF templates going forward. If you need additional Spec Export enhancements or new PDF templates, you will have the opportunity to purchase ad hoc SDM-as-a-Service hours to accommodate new requirements.

Conclusion

Transitioning from Conga to Spec Export not only simplifies your PDF generation process but also aligns it more closely with your overall Specification Management strategy within Specright's ecosystem. By following these steps, you can quickly get up and running so you can focus on making amazing, sustainable things.
